Working with the Client Management Tool

The Client Trading Activity system lets a salesperson create a list of contacts for easy management and access.

For each client you can include the following (and as seen in See "Client Trading Activity Window "):

All contact details, including the institution name, accountancy currency, contact name, email and telephone number.

Information about any trades you have conducted with that client in the past. This includes the last date you did a deal with that client and/or when you last called them.

For each product individually (FX, IR, CM, EQ and CD) you can list:

All the underlyings in the past deals you have undertaken with this client, or those the client has expressed an interest in.

In FX this is the currency pair; in IR it is the currency; in CM it is the commodity class (e.g., base metals or residual fuel oil), not the actual commodity; in EQ it is the stock or index; in CD it is the issuer name.

Any extra notes and comments.

This information means you can easily see which products (and which assets within those products) each of your clients is interested in.

Subsequently, as well as letting you easily manage your list of contacts, this list in the Client Trading Activity system also forms the basis of the Who to Call? feature.

Accessing the Client Trading Activity System

You can access this system from the pricers or from TradeView.

To access the Client Trading Activity system:

On the ribbon bar in the Sales tab click the Client Activity button.

Working with the Client Trading Activity System

After accessing the Client Trading Activity system you must first create a contacts list. Once you have created a list, you can then:

Add additional contacts

Edit existing contacts

Delete existing contacts

Search the list according to institution name or asset.

Adding Contacts to the Client Trading Activity System

You can add contacts to your contacts list as follows:

Manually adding a contact

You can enter a new contact manually in the top empty line as seen in See " Manually Adding a Contact ". To display this line you must first click the Add New Line button.

Once saved, each new contact is added to the end of the existing list.

By uploading the list from an Excel spreadsheet

You can upload client information from an Excel spreadsheet. This lets you import client information that you already have in an existing Excel spreadsheet.

You can import information from an Excel spreadsheet into the system as many times as you like. The import action simply adds each new contact to the end of the list; it does not overwrite any existing contacts.

SD expects the Excel information to be in certain supported columns, which can be defined in any order you like. However, it is unlikely that you will have used all the default column names chosen by SD in your own existing Excel spreadsheet. Therefore, on import the system will attempt to map your pre-existing column names to its own supported column names if at all possible; it does this based on an underlying list of logical and intuitive names. So if you have a column called “Customer” or “inst” on “Corporation” the system will map it to the Institution column; similarly it will map a column named “phone#” or “cell” or “phone num” to the Phone column.

When you import the data from an existing Excel spreadsheet into the Client Trading Activity system, SD imports all data in supported columns and in any columns it can map, and ignores any data in other columns.

The default columns are as follows:

This defines the company's bookkeeping currency.

This defines the last date you traded with this client.

LastCallDate

This defines the last date you called the client.

LastEmaillDate

This defines the last date you emailed the client.

You can download an Excel spreadsheet template which contains these columns (and an example for each column) by clicking the Download example list button.

You import the data from an existing Excel spreadsheet into the Client Trading Activity system via the Upload client list button.

To enter a new contact:

1. After accessing the Client Trading Activity system, click the Add New Line button.
2. In the top empty line that appears define the client's details.
3. Click Save. The contact is saved into the Client Trading Activity system.

To import the data in an Excel spreadsheet:

1. After accessing the Client Trading Activity system, click the Upload client list button.
2. Navigate to the relevant Excel file.
3. Click the Open button and then click OK. The data is uploaded into the system, and a new contact is created for each line of information in the Excel spreadsheet.

Editing an Existing Client in the Client Trading Activity System

You can edit an existing contact. You do this using the Edit Contact icon next to the contact you want to edit (as seen in See "Edit an Existing Client in the Client Trading Activity System ").

After clicking this icon you can edit any of the contact's fields as required.

To save the changes click the Save Changes icon. Before saving the changes you can always revert to the saved contact by clicking the Discard Changes icon as seen in See "Discarding Changes to a Client in the Client Trading Activity System ".

Alternatively, for the Last Trade Date, Last Call Date and Last Email Date you can edit any of the dates directly. You do this simply by clicking the Calendar icon and selecting the relevant date, or clicking the Today button to set the date to the current date.

Deleting an Existing Client from the Client Trading Activity System

You can delete an existing contact. You do this by clicking the Delete Contact icon next to the contact you want to delete.

Searching in the Client Trading Activity System

Once you have a list of contacts, you can then easily search your client list.

You can search for an institution name, a client name or an asset. Moreover, if you define multiple elements, e.g., an institution name and a client name, the system will display all contacts that include all of the defined elements.

 

The search functionality is always run on the entire list of contacts, regardless of what is displayed in the window itself. So if you have already run a search (so that only a subset of your contacts are displayed) and you then edit the search criteria, the new search will still be run on the entire list and not just on the displayed subset.

To search the list:

1. Enter the search values in the Search line.
2. Click Search. The system returns a list of contacts that meet the search criteria.

To re-display the entire list of contacts after running a search:

After running a search, to re-display the entire list click the Clear button.
